At ViatechSystems, we are committed to delivering high-quality software development and IT services. This Refund and Cancellation Policy outlines the terms under which refunds or cancellations may be requested by our clients.
2. Cancellation Policy
Clients may cancel a project or service engagement under the following conditions:
- Before Work Commencement: Full refund of any advance payment if cancellation is requested before any work has begun.
- During Active Development: Refund will be calculated based on the percentage of work already completed and resources allocated. Any non-refundable third-party costs (software licenses, API fees, etc.) will be deducted.
- Monthly Maintenance Services: Cancellation requires 7 days' written notice before the next billing cycle.
3. Refund Policy
Eligibility for refunds is determined on a case-by-case basis:
- Unsatisfactory Delivery: If the delivered work does not meet the mutually agreed-upon specifications, ViatechSystems will make reasonable efforts to rectify the issues. If resolution is not possible, a partial or full refund may be issued at management's discretion.
- Project Abandonment by Client: No refunds will be issued if the client fails to provide necessary feedback, assets, or approvals for more than 30 consecutive days.
- Change of Scope: Refund requests due to a change in project scope by the client will not be entertained. Any additional work will be billed separately.
4. Refund Process
To request a refund or cancellation, please contact us at info@viatechsystems.sbs with your invoice number, project details, and reason for request. Refunds will be processed within 14-21 business days via the original payment method.
5. Non-Refundable Items
The following are non-refundable:
- Third-party services, software licenses, domain registrations, or API fees purchased on behalf of the client.
- Consultation or discovery phase fees (if billed separately).
- Any work already delivered and accepted by the client.
